Gym & Soccer Field Use Policy

 
  1. The gym and soccer field at Immanuel Lutheran School are valuable resources to our school, church, and community. Scheduling and appropriate use of these resources will be managed, with authorization of the Immanuel Lutheran Board of Trustees, and the Immanuel Lutheran School Board.
     
  2. Priority of use will generally be as follows:
    A. Official School Functions (i.e. educational programs, sports, arts, etc.)
    B. Official Church Functions (i.e. requests of the various boards).
    C. Church or School sponsored club activities (i.e. boy scouts, adult recreational leagues, PTL activities).
    D. Church member coordinated activities (i.e. basketball practices, group activities).
    E. Community requests

Requests for gym/soccer field use that conflict, and are not resolved by the priority outlined above, will be resolved
by the school board or its selected designee. The congregational president, working in coordination with
the appropriate church board representatives, has the ultimate authority over appropriate use of church
and school facilities.

  1. Scheduling of facility:
    A. Requests for reservation of gym/soccer field will be reviewed at the beginning of the school year and periodically
        thereafter, as described below.
    B. Responses to requests for gym/soccer field received by the end of August will be posted online on the monthly
        gym usage calendar by the end of September. Requests made before the end of August may address the entire
        school year.
    C. Requests for gym/soccer field made after the start of September, and before January, may address only the
        remainder of the calendar year. Requests for gym/soccer field during the January through August timeframe
        will be reviewed and posted soon after the start of the new calendar year. (This will allow teachers/administrators
        time to consider spring sport and concert schedules.)
    D. Requests for gym/soccer field not received well in advance will be considered on a first-come, first-served basis
        via internet request. Short notice requests cannot be guaranteed.
    E. Scheduled gym/soccer field time will be posted on the internet. Event coordinators are expected to review the
        online monthly gym usage calendar to ensure the requested time has been scheduled and the times are accurate.
    F. Special requests for annual weekend events (i.e. Bridal Show, Pinewood Derby, etc.) may, at the discretion of the
        school board of its designee, be scheduled in advance and outside of the schedule outlined above.
        (This allows these events the necessary preparation time with limited risk of affecting school activities).
     
  2. Facility use guidelines:
    A. Groups using the facilities for meetings and assemblies are responsible for set up of chairs, table, visual aides, etc.
    B. Only those areas which have been reserved may be used.
    C. All equipment (athletic, chairs, tables, P.A. systems, etc.) is cleaned and returned to its proper place.
    D. After regular school hours the designated adult supervisor must sign in and sign out (on posted sheet) of the gym.
    E. Adult supervisor is responsible for the following before leaving the area:
        a. All trash cans are emptied in the outside dumpster
        b. Bathrooms are checked, toilets flushed, paper picked up
        c. All cleaning equipment is returned to the closet
        d. All lights are turned out (gym lights are on timers)
        e. All doors are closed and locked
        f. To ensure the area is in the same or better condition as after use as it was prior to use.    
     
  3. Facility users agree to the following:
    A. To provide a responsible adult (21 years or older) for over-all supervision of the facility uses, especially
         building security at event conclusion.
    B. To be responsible for any loss or damage to the facility areas assigned, facility property and/or property
        of those involved in the activities scheduled.
    C. To reimburse Immanuel Lutheran School for any damages to facilities, equipment or furnishings that are
        attributable, directly or indirectly, to misuse or negligence of the parties using the facilities.
    D. To indemnify and forever hold harmless Immanuel Lutheran School from any suit or claim of damage or
        injury sustained on the premises of Immanuel Lutheran School to any person from any cause whatsoever
        during the period of use of Immanuel's facilities.
    E. To provide proof of sufficient liability insurance for the activity planned.

Facility Use Request Form
